Arrange a weekly meeting time with the student.
Verify that the student has shared their Course Portfolio and their Program Journal with you.
Glance through (5 min.) their Program Journal to get a sense of what your student is all about, including their strengths and fears.
Look at their Course Portfolio to see if they have completed Unit 1.
Schedule a recurring Zoom meeting with the student (7 occurrences). This is best done at the zoom website (zoom.us, log in, click on your name, and click schedule a meeting.)
Make sure you have a meeting password
To comply with FERPA, do not record the meeting (however the student is welcome to record it.)
We recommend disabling the waiting room so the student can get set if they arrive early.
Copy the Zoom invitation and email it to your student. I find this better than having Zoom send the invitation. (See contents of email below.)
Copy the invitation on your own calendar so you have the link and password to join your own meeting.
Around a week before your mentor-session meeting, send your student a courtesy reminder email.
What to include in your reminder email to the student
Time and date for the meeting.
A copy of the Zoom meeting information.
Let them know that they are welcome to click record at any time during the meeting. Sometimes this is helpful so they can review any advice you provide.
Let them know that you have reviewed their program journal and progress on their course portfolio. Include a reassuring comment about your enthusiasm for working with them. This is important since there is very personal information in the course portfolio and the student has demonstrated a significant amount of vulnerability by sharing it with you.
Let them know that they will be presenting their work from Unit 1 in the course portfolio in the first meeting. (If they haven’t completed it, they will need to do so.)
You are welcome to personalize all correspondence.
